A roof maintenance handover for rental properties

Keep roof reports, product details and follow-up actions usable when a property owner or manager changes.

A roof report is useful only if the next person can find it and understand what still needs doing. When an owner or property manager changes, a small handover pack can prevent the same questions being asked from scratch.

Give the property one current roof record

Start with the address, known product details, installer contact and available warranty or maintenance documents. Label uncertain information as uncertain. A colour description copied through several reports is not proof of the product installed.

Keep the most recent assessment easy to find, but retain previous reports as history. Use dates and clear filenames so a superseded quote is not mistaken for approved work.

Separate observations, recommendations and approvals

An occupant's report, a contractor's recommendation and the owner's authorisation are three different things. Record each separately. For an outstanding item, note the location, who reported it, what assessment has occurred and who is responsible for the next decision.

A short action list is easier to use than a long email chain. For example: “Garage roof concern: assessment requested; owner to confirm appointment; no repair scope approved yet.” It tells the next manager what not to assume.

Agree communication and access before booking

Identify the person arranging access and the person who can approve expenditure. Confirm the appropriate arrangements with occupants and follow the applicable tenancy requirements; this checklist is not a substitute for advice on notice or access rights.

Share only the personal information needed for the job. Ask the contractor for a completion record that can go back into the property file, including any follow-up action rather than only an invoice marked paid.
